Top Reasons For Rejecting a Press Release

Understanding our quality guidelines helps ensure your news gets distributed

We want to help you succeed. However, there are specific situations where we need customers to make changes before we distribute their press release.

1

Written in ALL CAPS

Press releases written in ALL CAPITAL LETTERS are unprofessional, difficult to read, and often flagged as spam by news aggregators. This is one of the most common — and easily avoidable — mistakes.

✅ How to fix it: Write in regular sentence case. Capitalize only the first letter of each sentence and proper nouns. NEVER WRITE YOUR ENTIRE RELEASE IN CAPITALS.

2

Press Release Is Too Short

A press release that is too short lacks the substance journalists need to write a story. It suggests there isn’t enough news worth covering.

✅ How to fix it: You need at least 200 words minimum. The ideal length is 300-500 words. Aim for 400 words — this gives you enough space to fully explain your announcement, include a quote, and provide supporting details.

3

No Contact Information

Journalists need to know who to call for follow-up questions, interviews, or additional details. Without contact information, your press release is essentially unreachable — and will be rejected.

✅ How to fix it: List a “Media Contact” at the top or bottom of your press release. Include a contact name, company name, phone number, and email address. This is essential and non-negotiable.

4

Written as a Sales Pitch

Your press release needs to announce news — not pitch your product or service directly to the public. Journalists reject releases that sound like advertisements.

✅ How to fix it: Write in third person. Focus on facts, not hype. Announce something newsworthy (product launch, hire, award, expansion, partnership). View other press releases on EMWNews to get a feel for the right tone and style.

📌 Other Common Rejection Reasons

Poor grammar or spelling errors
No dateline (CITY, State – Date)
Missing “About” section
Hyperlinks in first paragraph
No ### end marker
Not newsworthy (no real announcement)
